  1. All tasks allocated to you can be accessed through your 'Dashboard' which can be found under ‘My Current work’. All online update tasks assigned to you will be displayed under the heading ‘Online update and review online update’. From here you can select a document to start the task.
  2. You will be taken to a page with a diagram showing of all the ‘Points in Time’ that have been allocated to you for ‘Edit Update’ and the number of amending effects to be undertaken at that particular point. Click on the green ‘Start Task’ button to begin.

  3. Note: The URL below allows the editor to download a spreadsheet of the researched effects for the amended document (change the type, year and number to reflect the document being updated). This can be downloaded before starting the update and gives a useful overview of all the amendments that need to be applied and when they are commenced. This is particularly useful when carrying out ‘coming into force effects’ or when dealing with amendments that come into force on different dates or for different extents: https://test-editorial.legislation.gov.uk/changes/affected/uksi/2009/13/data.xls?extended=full-with-co
  4. You will be taken to the ‘Update Overview Page’, this page lists the amendment tasks that you need to completed for the first Point in Time (PiT) you have been allocated. The amendment tasks are grouped into a number of categories:
    • High Level Amendments: Amendment that will require you to check out more than just a single provision e.g. a whole Part or Schedule.
    • Provision Level Amendments: Amendments that only affect individual provisions e.g. insertion of words
    • Automatic Amendments: These are amendments that do not change the text. The system will automatically create an annotation which you can check and edit if necessary
    • Blanket Amendments: (Please ignore this is going to be removed – blanket amendments will appear under High Level Amendments)
    • Checked Out Documents: If any documents have not been checked back in during the update process, a list of those documents will appear under this heading. You can’t proceed to the next PiT or complete an update task unless all documents have been checked back in.
  5. To start the update task you can either click on the ‘Details’ button which appears next to each of the provisions that needs to be updated for this Point in Time or click on the ‘Continue update’ button which will take you to the ‘Update Details’ page for the first provision listed on the ‘Update Overview’ page.
  6. On the ‘Update Details’ page for provision level amendments you will see all the amendments that need to be carried out for the provision selected for the specific Point in Time you are working on. This page allows you to see:
    • The extent of the affected provision and the affecting provision
    • Link to the affecting provision so that you can check the amendment instructions before going into XMetaL
    • Access a PDF of the original ‘marked-up’ version of the amending legislation, this may help resolve any queries if there is an issue with the amendment
    • There is a preview panel at the bottom of the page. Before update you can view the ‘previous version’ of the provision (which is the latest version from legislation.gov.uk). After update you will be able to see the newly updated version appearing here too labelled as the ‘Newly Edited version’.
    Note: The page for high level amendments is slightly different, you’ll also be presented with a ‘Table of content’ displaying the all the provisions of that item of legislation. This will then allow you check out higher levels e.g. Main body, Schedules, Parts, etc. Details on how this works is in the amendment specific guidance.
  7. On the ‘Update Details’ page for provision level amendments you will see all the amendments that need to be carried out for the provision selected for the specific Point in Time you are working on.
  8. The 'Update Details' page also allows you to preview the provision that you’re going to start editing by going to the ‘Previous Version’ tab at the bottom of the page. This step is highly recommended as it can alert you to any irregularity in the provision, or even in the document itself, which could later stop you from carrying out your editing. For the same reason it is also recommended that you view the affecting legislation, by clicking on the Title of the document positioned under the Heading, Affecting Legislation.
  9. Once you are satisfied that both the amended provision details and the amending tasks are okay you can proceed and select the green ‘Check out for edit’ button.
  10. Selecting the ‘Check out for edit’ button will launch XMetal, - the program that allows us to edit legislation.
  11. Refer to specific amendment guidance for further information on how to carry out the amendments in XMetaL.
